Our client is building out their back-office function and looking for a hands-on Staff Accountant & People Ops Administrator to join their lean team of two — reporting directly to the Controller. This is a great opportunity for someone with 2–3 years of accounting experience who is ready to take real ownership, grow their skills across accounting and HR administration, and build toward a Controller-track career. You’ll be a key part of bringing financial operations fully in-house and helping establish the processes and systems that support the company’s continued growth. What You’ll Own (Accounting - 80%) Accounts Payable + Vendor Management • Own AP intake and processing: coding, approvals, vendor communication, and documentation • Maintain clean vendor/subcontractor files and consistent controls • Build a predictable weekly AP rhythm and reduce fire drills Payroll Support (ADP) • Coordinate payroll inputs and cutoffs (time, changes, deductions) for ~40 employees • Support payroll processing with ADP and resolve issues quickly and accurately • Track and process employee changes that impact payroll and benefits Bank Feeds + Reconciliations (QBO) • Manage transaction hygiene: receipts, coding rules, approvals, and follow-ups • Monthly bank and credit card reconciliations with clean supporting schedules Month-End Close Support • Execute close checklist items, supporting schedules, and reconciliations • Help produce timely month-end financials with fewer surprises Construction Ops Finance Support (Procore + QBO) • Support job-costing workflow and ensure proper coding and visibility • Partner with Project Managers to keep cost data clean and actionable (training provided) What You’ll Own (HR Admin / People Ops - 20%) This is operational HR administration, not HR strategy. • Onboarding logistics: paperwork, checklists, file setup, systems access, and first-week readiness • Offer letter and admin support: templates, e-sign, and document collection • Benefits and admin coordination: employee changes, enrollments, and vendor coordination • Maintain employee files, acknowledgements, compliance items, and key dates Automation & Process Improvement This role isn’t just about maintaining the status quo — our client wants someone who actively looks for ways to improve the work: • Standardize intake, naming conventions, and documentation • Create SOPs, checklists, and recurring task cadences (AP, payroll, close, onboarding) • Help improve reporting visibility across the team Tech Stack • Payroll: ADP • Accounting: QuickBooks Online (QBO) • Operations/Job Costing: Procore (integrated with accounting workflow) What We’re Looking For Required • 2–3 years of accounting operations experience • Strong AP, reconciliations, and month-end support fundamentals • Experience supporting or coordinating payroll runs (ADP experience a plus) • High ownership, accuracy, and deadline discipline — you close loops • Tech-forward: comfortable learning systems quickly • Strong communicator with vendors, colleagues, and leadership • Bachelor’s degree in accounting or a related field Preferred • QBO experience (bank rules, recurring transactions, reporting) • Procore exposure or construction/job-costing familiarity • HR admin experience (onboarding or benefits coordination) • Experience documenting processes or improving workflows What Success Looks Like (First 90 Days) • AP is predictable, clean, and current — no vendor surprises • Payroll support runs smoothly with clean cutoffs and minimal corrections • Reconciliations are timely and month-end close stays on schedule • Onboarding is consistent and documented • You implement 2–3 workflow improvements that reduce manual work Compensation & Growth • Salary: $60,000 – $70,000 based on experience • Full benefits package • High visibility and real responsibility with a clear path into senior accounting or Controller-track work
