About the Opportunity We’re looking for a motivated and detail-oriented Sales Administrator to join Waste Services Group (WSG) within its Liquids division in Dandenong South. This is an exciting opportunity to join a newly established team in a growing business, where you’ll play an important role in supporting sales, operations and finance. You’ll help ensure completed jobs are accurately recorded, reconciled and ready for invoicing, while working closely with internal teams to keep daily operations running smoothly. This is a hands-on administrative role with a strong operational focus, ideal for someone who enjoys staying organised, solving problems and working in a fast-paced, team-oriented environment. You’ll receive ongoing training and support from an experienced team member, giving you the opportunity to learn the systems and processes and grow into the role. What You’ll Be Doing Reconciling approximately 70–80 jobs per day to ensure completed work is accurately recorded and ready for invoicing. Reviewing job details, timesheets and operator hours to ensure records align with customer requirements and finance processes. Updating internal systems and customer portals to ensure all job information is accurate and up to date. Identifying and adjusting jobs affected by weather, cancellations or changes to scheduled work. Ensuring purchase orders (POs) are attached to the correct jobs and costs are allocated accurately. Supporting operators with closing out jobs and resolving system or portal queries. Liaising with sales, business development, operations, labour and finance teams to resolve discrepancies and keep work flowing. Assisting with new client and contract set-ups, including pricing updates in the internal system. Monitoring and responding to emails, managing a shared operations administration inbox and completing general sales administration. Arranging accommodation for regional jobs when required. What We’re Looking For We’re looking for someone who is organised, proactive and keen to become an integral part of a new team. Ideally, you’ll bring: Previous experience in administration, sales support, operations administration, contracts administration or a similar role. Strong attention to detail and confidence working with job records, figures, times and invoices. Good communication skills and the ability to confidently guide and support operational staff. The ability to manage competing priorities and meet daily deadlines in a fast-paced environment. Confidence learning new systems and working with Microsoft Office. A practical, solutions-focused approach to resolving discrepancies and following up outstanding tasks. A positive attitude, willingness to learn and the ability to take feedback on board. Experience in waste management, logistics, transport, construction or another operationally focused industry would be advantageous. Basic finance or reconciliation experience would also be beneficial, but this is not an accounting role. Most importantly, we’re looking for someone who is coachable, adaptable and ready to learn. You don’t need to know everything on day one, but you should be comfortable asking questions, communicating with different teams and taking ownership of your work. Training & Support You’ll be supported by an experienced team member who has been with the business for over 12 years. The team is committed to providing ongoing training and guidance to help you understand the systems, processes and operational requirements. The preferred training hours are approximately 9:30am–5:30pm , allowing you to shadow an experienced colleague and build confidence before taking on the responsibilities independently. Additional Information Full-time, on-site position based in Dandenong South. Temp-to-perm opportunity, with a permanent salary of $70,000–$80,000 + superannuation. Parking available.
