About the Role As an Executive Assistant, you’ll provide high-quality executive and administrative support to the Managing Director, Transaction Banking, ensuring the smooth and efficient running of the executive function. The role requires a proactive, highly organised professional who can manage competing priorities, exercise sound judgement, and operate with discretion across a complex stakeholder environment spanning multiple regions and time zones. Role Type: Permanent Role Location: Sydney, Melbourne or Brisbane Work Hours: Full time What will your day look like? As an Executive Assistant, you are accountable for: Complex diary management, including coordinating meetings, appointments, stakeholder engagements, and preparing detailed weekly travel itineraries, while balancing competing priorities and ensuring the Executive's time is optimised effectively. End-to-end travel management, including the coordination of domestic and international flights, accommodation, transfers, visas, and travel documentation, with a focus on cost effectiveness, efficiency, and traveller wellbeing. Financial administration and forecasting, including monitoring team budgets, tracking expenditure, supporting financial planning activities, and providing regular reporting to assist with resource and cost management. Invoicing and expense management, ensuring invoices are processed accurately and on time, expenses are reviewed and reconciled in line with company policies, and financial records are maintained to a high standard. Resource management, including monitoring monthly employee and contractor headcount, maintaining accurate records, supporting workforce planning activities, and providing insights on resource capacity and utilisation. Governance and meeting coordination, ensuring key governance forums, leadership meetings, and committees are scheduled, agendas and papers are distributed in a timely manner, actions are tracked, and meeting outcomes are documented and followed through. Stakeholder relationship management, acting as a trusted liaison between the Executive, senior leaders, and internal and external stakeholders, ensuring professional and timely communication. Preparation of presentations and executive communications, including drafting correspondence, reports, briefing papers, and presentations to support executive decision-making and stakeholder engagement. Proactive business support, identifying opportunities to improve processes, anticipate business needs, resolve issues before they arise, and contribute to the overall effectiveness of the leadership team. In addition to the EA responsibilities outlined above, the role will also take on ad hoc duties to support the TB team. This may include activities such as maintaining and updating the asset register, managing floor and office moves for the team, and liaising with our business execution teams to ensure smooth running of the TBLT operating rhythm. What will you bring? To grow and be successful in this role, you will ideally bring the following: Experience in an Executive Assistant role supporting senior executives (GM / MD level or equivalent), with exposure to C-suite stakeholders and highly complex executive environments. Demonstrated experience supporting senior leaders for extended periods, with a track record of stability and progression across relevant roles. Experience within financial services or a closely related industry is highly regarded. Outstanding organisational and time management skills with the ability to manage competing priorities. Strong written and verbal communication skills, including the ability to prepare high-quality presentations, correspondence, and executive-level documentation. High proficiency in Microsoft Office 365 (Outlook, Teams, PowerPoint, Word, Excel). Demonstrated ability to exercise sound judgement, anticipate business needs, and work autonomously. Proven experience beyond diary, travel, and expense management, with a proactive approach to supporting business outcomes and driving initiatives. High level of professionalism, discretion, and confidentiality. Experience coordinating international travel and multi-timezone scheduling.
