We are seeking a highly organized, detail-oriented Executive Assistant with an operations background to provide high-level administrative and operational support to executive leadership. This fully remote role requires exceptional professionalism, strong technical proficiency, operational awareness, and the ability to manage highly sensitive and confidential information with accuracy and discretion. The ideal candidate understands business operations, anticipates executive needs, and contributes to process efficiency in a regulated environment.Key ResponsibilitiesProvide high-level administrative support to executive leadership, including strategic calendar management, meeting coordination, digital file organization, and leveraging advanced technology tools (Microsoft 365, Teams, document management systems, and virtual meeting platforms) to enhance efficiency, accuracy, executive productivity, and the secure handling of sensitive and confidential information in a remote environmentManage and prioritize executive emails, correspondence, and requests with professionalism and attention to detailCoordinate virtual meetings, prepare agendas, capture accurate meeting notes, and track follow-up action itemsPrepare, review, edit, and format reports, presentations, and internal communicationsServe as a liaison between executive leadership, internal teams, external partners, and stakeholdersMaintain organized, compliant, and secure digital filing systems and recordsAssist with project coordination, deadlines, and special initiatives as assignedAnticipate executive needs and proactively identify opportunities to improve workflows, processes, and efficiencyRequired QualificationsProven experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior or executive leadershipExceptional attention to detail and strong organizational skillsDemonstrated ability to handle confidential and sensitive information with discretion and professionalismAdvanced proficiency with Microsoft 365, Microsoft Teams, document management systems, and virtual meeting platformsStrong written and verbal communication skillsAbility to work independently and effectively in a fully remote environmentHigh level of reliability, professionalism, and judgmentPreferred QualificationsExperience in insurance, healthcare, financial services, or other regulated industriesFamiliarity with long-term care insurance or related terminologyExperience supporting C-level executives in a remote or hybrid environmentKey Skills & CompetenciesExecutive-level administrative supportAdvanced technology and digital organization skillsTime management and prioritizationConfidentiality and compliance awarenessProactive problem-solvingAdaptability and professionalism
