Job description
About the Company
Our client is an Australian legal services group of around 55 people, including an existing and well-integrated offshore team, trading as two boutique law firm brands. One brand relies on a constant pipeline of new leads, while the other relies on staying in touch with existing clients and referral partners, and an internal program of staff engagement, quarterly themes and events runs across both. An external agency now sets the marketing strategy, SEO and paid media, so the client needs a dedicated Marketing Coordinator to own the day-to-day execution: designer, publisher and campaign builder in one. This is a newly created full-time position, established to maintain continuity of marketing delivery across both brands.
About the Role
This is an execution-focused role. The agency handles strategy, targeting and messaging, and the Marketing Coordinator works from approved strategy, briefs and messaging to turn them into graphics, website updates, email campaigns and internal communications across both brands. The role is weighted towards creative design and content production, with graphics, communications, website updates and email execution making up the bulk of the work. Both brands are supported equally and concurrently.
The role is a designer, publisher and campaign builder in one: creating graphics in Canva and AI tools, publishing on both WordPress sites, building email campaigns in a template-based platform, and supporting social content, events and internal communications.
Design is the most important skill. The Marketing Coordinator receives a clear brief and direction and is trusted to bring it to life with strong layout, creativity and attention to detail. Brand kits, colour palettes and Canva templates are already established for both brands, so the work builds on existing assets rather than starting from a blank page.
The role makes a real contribution to internal culture. Each quarter the firms launch a new internal theme, supported by posters, communications and presentation slides. Planning takes place in December for an early January launch, so the work is fast paced. External materials follow strict brand standards, while internal content is expected to be creative, engaging and fun.
The workload is project and event driven rather than a fixed daily routine. For example, a new team member joining triggers a series of tasks such as photography, website updates and email campaigns. As a guide, the websites are updated at least weekly, each website publishes at least one article a month, and each brand sends one to two email campaigns a month.
Attention to detail is essential in a legal brand. Every piece goes through quality checks in Australian English, with a test sent before anything goes out, and all new or materially changed content (including website landing pages, service pages, articles, EDMs and downloadable resources) must be approved by a Senior Solicitor for accuracy and compliance before publication.
The Marketing Coordinator works closely with the Sales & Marketing Manager, including a short team huddle each morning and close support during the first six months. A structured onboarding is provided, supported by a handover from the existing team member, documented processes, training videos and recorded walkthroughs.
The client values great communication, aptitude and enthusiasm, together with confidence, curiosity and a personable, engaging style that fits a close-knit team. The email platform and the client's custom template blocks can be learned, so a positive attitude and willingness to learn matter as much as tool experience.
SEO strategy and paid media remain with the external agency, and major website development is not a core task. The Marketing Coordinator supports on-page SEO and generative engine optimisation (GEO) within the website and content work, and supports the agency relationship by coordinating briefs, assets and approvals with the Sales & Marketing Manager.
This is a home-based role, like the client's existing offshore team. Software licences the role logs into, such as Canva and the email platform, are issued by the client.
Primary Purpose
To execute the firm's marketing accurately and consistently across both brands and the internal program, turning approved briefs into creative, on-brand graphics, website updates, email campaigns and communications, with every piece checked and approved before it goes out, so that the Sales & Marketing Manager and the agency can focus on strategy and growth.
Key Responsibilities
Design & Creative (Canva and AI Tools)
Create graphics in Canva and AI tools from ideas and briefs, for social media, LinkedIn job ads, banners, invitations and email, using approved brand standards
Design the quarterly theme campaign and its materials, including posters, internal communications and presentation slides, bringing a creative and engaging style to internal content
Design or update promotional materials, including pull-up banners, flags, signage and event collateral, and client and firm collateral
Create presentation slides, quarterly campaign materials and internal visual assets (Canva and PowerPoint)
Apply each brand's established kit, templates and colours consistently, while meeting deadlines that are agreed transparently with the Sales & Marketing Manager
Use AI tools responsibly to speed up creative and content work, without putting confidential client information into public tools. The marketing team uses ChatGPT projects (set up for each firm) and Microsoft Copilot to generate draft communications, which are reviewed and refined before use
Website Publishing (WordPress)
Publish and update content on both WordPress websites (custom, block-template sites), including articles, page updates, service pages, forms and landing pages, and select images, with updates at least weekly and an article on each site at least monthly
Keep staff profiles and page structures consistent across the sites
Implement directed website UX, conversion pathway and digital positioning improvements
Support on-page SEO and GEO optimisation of site content, in coordination with the agency
Implement approved marketing-related changes across booking, CRM, payment and digital platforms (for example Microsoft Bookings, Clio Grow, Stripe and Zapier), coordinating with the Sales & Marketing Manager
Email Marketing, CRM & Automation
Build email campaigns in the email platform (Ortto) from approved content and existing template blocks, then test, schedule and send to the right audience, at least once a month and up to twice a month for each brand
Execute automated email journeys, forms, integrations, audience segmentation and lead nurturing
Maintain segmented mailing lists and CRM data (Clio Grow), keeping segmentation and contact records accurate
Manage marketing systems and automated workflows (Ortto, Clio Grow and Zapier), working within approved workflows and change controls
Internal Communications & Social
Deliver internal communications, including quarterly themes, staff engagement activities, event invitations and company events
Create social content, including posting event and team photos, and schedule approved posts (Loomly)
Publish approved vacancies and promote open roles, including LinkedIn job ads
Events & Referral Partners
Create event invitations and execute approved event communications for referral partner and client events, from invitations to promotion and post-event follow-up
Coordinate event promotion across email, social, website and referral channels
Coordinate branded merchandise and promotional items with internal stakeholders and suppliers
Agency Support, Reporting & Strategy Support
Support the agency relationship by coordinating briefs, assets and approvals with the Sales & Marketing Manager
Maintain and update monthly and quarterly marketing reporting frameworks, aligned to business strategy and management objectives
Support implementation of brand positioning and business strategy across digital channels and client touchpoints, and implement agreed marketing priorities and initiatives
Quality & Compliance
Carry out quality checks on every piece, in Australian English, with a test send before anything goes out
Make sure all new or materially changed content has Senior Solicitor approval before it is published or sent, and only publish approved content
Communication & Collaboration
Take part in the daily team huddle, contribute to discussions and ask questions to understand priorities and the reasons behind them
Respond promptly on email and Teams, and flag deadlines, conflicts or blockers early
Work comfortably across both brands and across the wider team, including colleagues in other offices
Hours & Location
Remote, home based. Full-time, 8:30 am to 5:00 pm Australian Eastern time with a lunch break from 1:00 pm to 2:00 pm, working agreed Australian business hours and following the Australian public holiday calendar

Hands-on WordPress experience publishing and updating articles, pages and staff profiles, selecting images, and keeping page structures consistent (WordPress is essential)

Able to work within a content approval process, where new or materially changed content is approved by a Senior Solicitor before publication
Hands-on marketing coordination or digital marketing experience (3+ years is ideal), working from approved strategy and briefs

Event marketing, including invitations, promotion and post-event follow-up, and recruitment marketing such as LinkedIn job ads
Experience with Ortto, Clio Grow, Loomly and Zapier specifically (equivalent platforms are accepted)
Familiarity with PowerPoint, Microsoft Bookings, Stripe and Google Analytics or similar reporting tools
