Position Summary The Office Assistant supports daily operations by keeping production paperwork, inventory records, materials, and documentation organized and up to date. This role works closely with the office and shop floor to help keep production moving efficiently. We’re looking for someone who is organized, dependable, willing to learn, and naturally looks for ways to help. As you become familiar with the role, there will be opportunities to take on additional responsibilities and provide backup support to the team. Key Responsibilities Print, collate, and distribute daily work orders, job travelers, labels, and packing slips to the shop floor. Maintain and update electronic and paper records in the ERP system. Perform cycle counts, bin replenishment, and basic inventory reconciliation; investigate and report discrepancies. Receive and inspect incoming materials against purchase orders, tag, and stock parts in designated locations. Prepare material kits for jobs and communicate shortages to Purchasing and Production Planning. Update inventory transactions (receipts, issues, transfers) in the ERP system in a timely manner. Support material staging and basic shop housekeeping to keep inventory areas organized and follow 5S practices. Coordinate with Production Supervisors, Purchasing, and Shipping to prioritize urgent work orders and material needs. Generate basic inventory and work order reports for supervisors. Assist with barcode labeling, scanning, and other system/data-entry tasks. Learn additional processes and responsibilities to provide backup support when needed. Proactively identify ways to help the team and keep work moving when priorities change. What We're Looking For High school diploma or equivalent. 1+ year of experience in a manufacturing support, inventory control, clerical, or similar role preferred. Comfortable using ERP systems and basic Microsoft applications such as Excel and Outlook. Strong attention to detail and organizational skills. Clear communication skills and the ability to work effectively with both office and shop floor employees. Willingness to learn new processes and take on additional responsibilities. Self-motivated and proactive; able to recognize what needs to be done rather than always waiting for direction. Manufacturing experience is a plus.
