About the Job: As a Payroll Specialist, you will be responsible for ensuring accurate and timely payroll processing while supporting key HR and compliance functions. You will review employee timekeeping, process payroll and track overtime, maintain employee records, support benefits and tax requirements, and prepare HR and payroll reports. The ideal candidate is detail-oriented, organized, comfortable working with confidential information, and able to effectively coordinate with employees, Directors, HR, Finance and payroll providers. What You'll Do: Payroll Processing Obtain weekly verification from Directors of employee hours worked to ensure timely and accurate payroll processing. Process payroll, obtain required approvals, and submit necessary information to the Support Center. Review missed punches and escalate discrepancies to HR management. Track weekly overtime and provide KPI reports to the Regional Business Office Manager. Process employee raises and other approved payroll adjustments as needed. Complete weekly payroll comparisons and submit reports to the Regional Business Office Manager and VP of Human Resources. Records and Compliance Review health insurance invoices and assist with related discrepancies. Review and maintain employee vacation, PTO, and sick time records. Complete employment verification requests and submissions. Ensure new hires are entered into the system accurately and in a timely manner. Complete Equal Employment Opportunity (EEO) submissions. Prepare and distribute W-2 forms. Run weekly utilization reports and provide them to the Head of Human Resources. Close out terminated employee files and ensure termination notices are submitted to the Support Center as scheduled. Troubleshoot personnel-related concerns, including 401(k), medical insurance, dental insurance, and other benefits. Operational Support Work with Accounts Payable and the payroll provider to set up GL codes for new departments and deductions. Assist departments with scheduling software and coordinate training as needed in partnership with the Executive Director. Work with the HR team to obtain reports required for 401(k), workers’ compensation, and other audits as assigned by the Regional Business Office Manager or VP of Human Resources. Work with Directors to ensure compliance with the Attendance Occurrence Policy and appropriate Disciplinary Notices are issued. Tax Support Register communities for state, state unemployment, and local taxes. Ensure applicable Tax IDs are accurately maintained in the system. What You'll Bring: Bachelor's degree in Human Resources, Accounting, Finance, Business Administration, or a related field preferred. At least 6 months of relevant payroll experience, preferably supporting US-based employees or organizations. Working knowledge of US payroll processes, including payroll processing, timekeeping, overtime, employee deductions, and tax requirements, is preferred Proficiency in Microsoft Excel and Word, with the ability to prepare and analyze reports. Strong attention to detail, accuracy, organization, and time-management skills. Strong verbal and written communication and interpersonal skills. Ability to handle confidential employee and payroll information with discretion and professionalism. Strong problem-solving skills and ability to identify and resolve payroll or employee-related discrepancies. Ability to work effectively with HR, Directors, Finance, employees, and external payroll providers. Willingness to work onsite, in shifting schedules, and overtime as needed.
