The Safety, Compliance & Onboarding Specialist supports the employee lifecycle by coordinating new hire onboarding, facilitating orientation, and providing day-to-day HR administrative support. This role also manages training compliance, safety documentation, and regulatory tracking (OSHA, DOT, and MSHA) to ensure employees meet company and regulatory requirements. The Specialist maintains accurate employee and compliance records, supports audit readiness, and partners closely with HR, Safety, Operations, and the Payroll/Compliance Manager. Key Responsibilities (Essential Duties and Functions) Safety & Training Compliance Coordinate & track required safety training (OSHA, MSHA, Smith Driving, Harassment Prevention, etc.) Administer & verify completion of new hire safety orientation/training before field assignment Maintain training records in systems ensuring accuracy and completion status Monitor compliance with OSHA 10 certifications and other required credentials DOT & Regulatory Compliance Maintain and audit DOT driver qualification files, ensuring compliance with federal and company standards Track and coordinate drug and alcohol testing, including pre-employment, random, and post-incident testing Monitor and maintain medical cards and expiration tracking Ensure all compliance records are current, complete, and audit-ready Recordkeeping & Reporting Maintain organized, electronic compliance files for employees and training documentation Enter and track safety training attendance and documentation Support OSHA recordkeeping (300/300A logs) and required reporting Assist with MSHA reporting and tracking of required training hours Generate and distribute compliance and safety reports as needed Support reporting, documentation, and follow-up related to workplace incidents Administrative, HR & Coordination Support Support new hire onboarding activities, including coordination of pre-employment requirements, onboarding paperwork, and employee set-up processes. Conduct and present new hire orientations, reviewing company policies, safety requirements, and onboarding documentation. Maintain employee onboarding, compliance, and personnel records, ensuring accuracy and confidentiality. Support policy and procedure documentation and updates. Assist with audits, inspections, and compliance reviews. Assist with HR administrative functions, employee data entry, reporting, and record maintenance. Maintain confidentiality of sensitive employee and compliance information. Qualifications 2+ years of experience in compliance, safety, HR, or administrative coordination Experience with DOT, OSHA, or MSHA compliance preferred Strong attention to detail and ability to manage multiple tracking systems Proficiency in Microsoft Office and data tracking systems Ability to work cross-functionally with field and office teams Strong organizational and follow-up skills Knowledge/Skill Requirements Detail-oriented and process-driven Strong accountability and ownership of compliance tasks Ability to prioritize and meet deadlines in a fast-paced environment Comfortable working with data, audits, and regulatory requirements Highly effective oral and written communication skills required. Ability to operate office equipment including, but not limited to: computers, copiers, printers, etc. Proficiency of MS Excel and Word applications required. Ability to analyze issues independently. Ability to perform under deadline pressure. Ability to understand and follow complex verbal and written instructions. Ability to meet attendance schedule with dependability and consistency. Work Requirements Must be 18 years in age or older. Must pass pre-employment physical, drug screen and criminal background check. Strict adherence to safety requirements and procedures as outlined in the Employee Handbook. Willingness to work in a team environment and assist co-workers or supervisors with other duties as required. Must be willing to travel and work away from home when required. Must be willing to work nights and weekends when necessary.
