Group Legal provides legal advice to senior group stakeholders globally in accordance with dynamic regulatory environments and enables the achievement of the Anglo American Group’s objectives while appropriately managing risk and enabling business outcomes through legal mechanisms. Group Legal seeks to be value accretive strategic partner to the business through effective and efficient delivery of legal services. Purpose The Team Administrator role supports Group Legal in delivering legal services to the Marketing businesses, providing administrative support to the Head of Legal & Compliance and the team, including in relation to budgeting and spend tracking processes. Key Responsibilities include People: Demonstrate behaviour in line with the Group’s values, standards and a professional workplace Participate as an effective team member in working collaboratively with Executive heads, Marketing team, Group Legal, peers and relevant others (including from other teams where relevant) to achieve business goals Team culture champion, diarising key dates and arranging gifts, etc Work Processes: Daily Departmental Administration Communicate and/or coordinate principal's instructions and business requirements with various individuals and/or departments Furnish and obtain information from other principals or outside representatives. Organize and maintain principal's correspondence and records, following up on pending matters with limited direction Efficient and up-to-date filing and storage of documentation (paper and electronic) Accurate tracking records maintained e.g. Gifts, Entertainment & Hospitality Register, monthly travel overview, daily attendance/travel schedule Onboarding and offboarding of contractors and secondees Support relevant finance processes – from annual cycles (budgets, forecasting etc.), to individual purchase to pay processes, including initial budgeting, spend monitoring, allocations, accruals, etc. Preparation of high-level and confidential documents Prepare correspondence, memos and presentations for principal’s final approval Diary management – scheduling and confirming travel arrangements, including support with expenses Flight, transfer and accommodation bookings and visa applications made in accordance with company travel policy Liaising with travel agent, managing booking, visa applications and following correct procedures, in line with company travel policy Ensure diary is up to date with travel info Expenses prepared and reconciled Read, flag and archive principal’s emails on a daily basis and maintain email filing system Schedule and coordinate appointments and arrange meetings taking into account time differences and deadlines Meeting and events management Logistics of conferences, regular management forums and Board meetings arranged including venues, equipment, catering, dinner arrangements, off-site excursions, transportation, guest room bookings, etc. Booking rooms, catering and equipment Planning team building events Projects Participate in projects with other TA team member(s) as and when required
Good standard of general education Recognised secretarial qualification an advantage Knowledge required: Minimum 5 years of work experience in a corporation, ideally a law firm or in-house Legal team Excellent organisational skills, attention to detail, self-starter, ability to work under pressure and prioritise Strong written and verbal communication skills Ability to work independently Ability to flex and respond quickly to internal and external changes (e.g. when planning travel)
