The one-line rule

A resignation letter is a formal record, not a farewell speech. It says three things: I'm leaving, my last day is X, thank you. Anything else. The why, the grievance, the speech. Goes in the exit interview, not the letter. The letter lives in your file forever; keep it boring.

1. Standard two-weeks notice

The default. Use this 90% of the time.

Subject: Resignation. [Your Name]

Dear [Manager Name],

I am writing to formally notify you of my resignation from my position as
[Job Title] at [Company]. My last day will be [Date. Two weeks from today].

Thank you for the opportunity to contribute to the team over the past
[N years/months]. I am committed to ensuring a smooth transition and am
happy to help with handover work during my remaining time.

2. Short & warm

When the relationship is good and you want to keep it that way.

Dear [Manager Name],

It is with mixed feelings that I write to confirm my resignation from
[Company], effective [Date]. The last [N years] have been some of the most
formative of my career, and I'm grateful for the trust you placed in me.

I'd like to make the transition as smooth as possible. Happy to document
in-flight work and help interview a successor.

3. Immediate (no notice)

When health, family, or a hostile environment makes staying impossible. Read your contract first. Some require notice on penalty.

Dear [Manager Name],

I am writing to inform you that I am resigning from my position as
[Job Title] at [Company], effective immediately on [Today's Date].

I appreciate the opportunities I've had here and wish the team continued
success. I am happy to discuss handover details by email.

4. Software engineer leaving for a new role

Standard tech departure. Mention transition assistance to keep the door open for future references.

This letter serves as formal notice of my resignation as

day will be [Date], two weeks from today.

I'll spend the remaining time wrapping up the [project / feature / migration]

5. Manager / team lead

When you have direct reports, the letter quietly signals you'll handle the people side professionally.

Dear [Manager Name],

Please accept this as formal notice of my resignation from my position as
[Engineering Manager / Team Lead] at [Company]. My last day will be [Date].

Over the next two weeks I'll work with you on handover plans for the team,
status of in-flight projects, and a written 1:1 summary for each direct
report so the next manager has continuity. Thank you for the opportunity to
build and lead this team.

6. Nurse / healthcare practitioner

Healthcare roles often have longer notice requirements (4 weeks is common). Cite the actual contractual notice.

I am writing to provide notice of my resignation from my position as
[RN / Nurse Practitioner / role] at [Hospital / Clinic]. My last working
day will be [Date], in line with the four-week notice period in my contract.

I will continue full clinical duties during the notice period and will
prepare a handover note for each of my regular patients to support continuity

7. Retail or hospitality

Often verbal first, but a one-paragraph note in writing protects everyone.

Hi [Manager Name],

Just putting in writing that I'm resigning from my [Sales Associate /
Server / Barista] position at [Store / Restaurant], with [Date] as my
last shift. I'll work my scheduled shifts until then and am happy to
help train whoever picks up my hours.

8. Pivoting to a new industry

No need to over-explain the pivot. Acknowledge growth, keep it short.

After [N years] I've decided to take my next professional step in
[new industry / domain]. This letter confirms my resignation from

I am genuinely grateful for the experiences and mentorship I've had here.
I'll spend my remaining time documenting active work and supporting the team

9. During the probation period

Probation usually has a shorter notice period (a week is common). Confirm the number from your contract.

10. Leaving on bad terms (stay neutral)

If the relationship is poisoned, the letter still goes in your file. Your future-self thanks present-you for keeping it neutral.

Document specific grievances elsewhere. HR file, lawyer, your own notes. Not in this letter.

11. Remote-first / async-heavy team

Make explicit how you'll handle handover when there's no shared office to "walk things through".

I'm writing to formally resign from my position as [Job Title] at [Company].
My last day will be [Date].

Given our async / remote setup I plan to leave behind: (1) a Notion handover
doc for every active project, (2) a written brief on each open Slack thread
I own, and (3) a short Loom walkthrough of the [tool / dashboard] I admin.
Happy to adjust the handover plan however suits you best.

12. Resigning to take an internal role

Strictly speaking it's a transfer, not a resignation, but HR often wants the same paper trail.

Dear [Manager Name],

I'm writing to formalise my move from [Current Role] to [New Role. Team]
within [Company], effective [Date]. As discussed, I'll continue covering
[handover items] until [Date] to make sure nothing drops between the teams.
