By joining the team as Engineering Services Assistant , you will support Engineering Services operations through the administration of maintenance management systems, management of asset and operational information, coordination of maintenance processes and provision of administrative support in order to optimise service delivery, resource utilisation, asset performance and business continuity In this role you will: Coordinate stakeholder enquiries, communications, meetings, travel arrangements and business events to ensure efficient information flow, request follow ups, service delivery and smooth Engineering Services operations; Administer and maintain Engineering Services online systems and databases and time attendance systems, ensuring accurate and up-to-date operational, maintenance and asset information for effective operational activities; Coordinate the receipt, tracking and follow-up of maintenance requests, work orders and service interventions , through online systems, to ensure timely resolution , effective operational planning and customer satisfaction; Administer and m aintain maintenance, asset and technical records, through online systems, including equipment histories, intervention records and installation data, to support operational planning, lifecycle management and operational planning; Monitor and analyse maintenance, asset and operational performance data to support continuous improvement, lifecycle planning and resource optimisation; Plan, coordinate and monitor preventive and corrective maintenance activities through online systems to maximise asset performance , resources utilisation and operational continuity; Coordinate administrative and financial activities related to engineering projects, maintenance work and service contracts, including purchase orders, invoice verification and payment follow-up to support effective project delivery and timely financial processing; Monitor inventory, spare parts and consumables through online systems to support maintenance planning and ensure continuity of engineering operations; Track, m onitor and analyse maintenance expenditure, asset performance and budget information to support cost control , forecasting operating supplies and equipment replacement and resource planning; Liaise & c oordinate with internal and external stakeholders to maintain accurate technical operational information , support effective service delivery , decision-making and operational information ; Provide first-line support, guidance and training to CMMS and/or JIRA users and Single Point of Contact to promote effective system use, data quality and operational continuity. To succeed, you will be required to demonstrate the following competencies: Plans and prioritizes work to meet commitments aligned with organizational goals; Makes sense of complex, high quantity, and sometimes contradictory information to effectively solve problems; Anticipates and adopts innovations in business-building digital and technology applications; Develops and delivers multi-mode communications that convey a clear understanding of the unique needs of different audiences; Consistently achieves results, even under tough circumstances. We are looking for candidates who have a minimum of: EITHER Diploma in Business Administration, Engineering Management, or an equivalent qualification; 3 years' experience in an administrative role within any of the following fields: engineering, facilities management, maintenance, or similar operational environments. OR A completed Higher School Certificate (HSC); 5 years' experience in an administrative role within any of the following fields: engineering, facilities management, maintenance, or similar operational environments. AND Certified in and/or experienced using CMMS software or maintenance management systems would be an advantage; Proficiency in Microsoft Office applications; Knowledge of maintenance, facilities management or engineering support processes. A combination of both qualifications and experience will also be considered.
