Role Summary Location: Rzeszów, Jasionka The Accounts Payable Coordinator is responsible for managing end-to-end invoice processing, ensuring timely and accurate payments to vendors, and maintaining compliance with Polish accounting regulations and internal company policies. The role supports month-end close, vendor relationships, and continuous process improvements within the AP function. Key Responsibilities • Review, verify, and process supplier invoices in accordance with company policies • Ensure proper 2-way / 3-way matching (PO, receipt, invoice) • Prepare and review weekly payment run • Validate payment details, including bank information, amounts, approvals, and supporting documentation • Reconcile vendor statements and resolve discrepancies • Ensure compliance with Polish VAT and KSEF regulations and statutory requirements • Respond to vendor inquiries related to payment status, remittance details, and discrepancies • Reconcile payment reports to accounts payable subledger and general ledger • Research and resolve payment exceptions, rejected payments, and bank returns • Ensure payments are reconciled and posted to the general ledger • Support internal and external audits by providing payment documentation and reports • Collaborate with accounting, treasury, and procurement teams to ensure smooth payment operations Qualifications, Skills & Attributes • Associate’s or Bachelor’s in accounting, Finance, or related field preferred • Experience with Polish accounting standards • Experience with VAT and KSEF regulations (strong advantage) • Relevant Accounts Payable experience preferred • Experience with ERP or accounting systems (e.g., M3, SAP, Oracle, NetSuite, Workday) • High attention to detail and strong organizational skills • Ability to meet strict deadlines in a high-volume environment Eligibility Applicants must have the legal right to work in Poland and meet any clearance requirements relevant to the role.
